Calculation Assumptions & Tax Qualification
This calculator models expected project fees based on your inputted time and desired floor rate. Realized project profitability depends on actual client communication turnaround, change control enforcement, and milestone delivery. The optional tax rate is illustrative and does not constitute formal tax or legal counsel.
How This Pricing Model Protects Your Profit Margin
Most freelancers quote projects using the naive formula: Hours × Hourly Rate. This calculation fails in the real world because it assumes zero friction, zero client delays, and zero revision disputes. When unexpected revisions or meetings occur, your real earnings collapse.
1. Base Labor Cost
Hours × Target Rate. Represents uninterrupted execution time under optimal delivery conditions.
2. Direct Expenses
Third-party pass-through costs (fonts, stock, hosting, subcontractor fees) billed to the client.
3. Contingency Buffer
A 15%–25% buffer applied to direct commitments that absorbs discovery gaps and secondary stakeholder feedback.
Mathematical Formulation:
Base Labor = Hours × Rate
Direct Commitments = Base Labor + Direct Expenses
Contingency Amount = Direct Commitments × (Contingency % ÷ 100)
Project Subtotal = Direct Commitments + Contingency Amount
Estimated Total = Subtotal + (Subtotal × (Tax % ÷ 100))
